Encoding the descriptions

The following part of the documentation shows how the information mentioned in "Describing institutions" is to be encoded according to the EAG standard. There are four groups of elements ("Root element", "Control area", "Archival guide" and "Relations area") with the elements listed in the very order in which they would appear within an EAG instance. Elements that can be used in various places are only described once at their first appearance. The same applies to attributes, which are described in a separate attributes section.

For each element its tag and its name (ie a human readable transliteration of the tag) are given together with a brief description. If applicable, this is followed by a more detailed description of an element's use within the Archives Portal Europe. Information is provided on the element's occurrence, its parent and possible subelement(s), its content model (ie whether or not it may contain text) and on attributes that might be available for use in conjunction with the element.

Due to the history of EAG, the origin of each element is mentioned in addition, and can either be EAG 0.2 (ie this element already existed in the previous version), ISDIAH (ie this element has been introduced for reasons of compliance with ISDIAH), EAC-CPF (ie this element has been adapted from EAC-CPF) or "new" (ie this element is without predecessor and eg has been included for feasibility of EAG in an international and multilingual context).

Last, some examples of encoded information are provided with the elements.

Root element

Mandatory root element – indicates a description of an institution with archival holdings formatted in XML and encoded according to the EAG standard.

<recordId> - Description identifier

The unique identifier of the description of the institution, ie unique identifier for the EAG file.
Use in the Archives Portal Europe:

In the system of the Archives Portal Europe the description identifier will be created automatically as copy of the unique identifier for the institution that is described within the EAG file. The institution identifier is to be provided within the tools of the Archives Portal Europe when creating or editing EAG information.

The actual entry will be made for the element <otherRecordId>, which allows to specify, if the institution identifier is an officially registered ISIL code. If that is the case, the identifier of the institution as being globally unique will be copied for the identifier of the EAG file describing the institution as well.

Should no ISIL code exist, an identifier unique within the systems of the Archives Portal Europe will be created and used as <recordId> of the EAG file. Such "ID used in APE" will start with the country code according to ISO 3166-1, followed by a hyphen, followed by an 11-character numeric code for the institution.

The <recordId> will also be used as part of the persistent URL-s within the Archives Portal Europe as follows:

  • http://www.archivesportaleurope.net/ead-display/-/ead/pl/aicode/[EAG recordId]/...
  • http://www.archivesportaleurope.net/eac-display/-/eac/pl/aicode/[EAG recordId]/...

<otherRecordId> - Other description identifier

Alternative identifier for the EAG file, eg the identifier of a locally used version.
Use in the Archives Portal Europe:

Within the EAG creation form of the Archives Portal Europe, <otherRecordId> is the main entry field for identification:

  • first, of the institution that is being described;
  • second, implicitly of the description itself.

The attribute @localType with <otherRecordId> allows to distinguish between identifiers that are globally unique (ie represent an officially registered ISIL code) and those that might only be unique in a national or regional or even just local context. If @localType is used with the value yes for registered ISIL codes, the entry for <otherRecordId> will be copied to <recordId> and will be used as official identifier for the EAG. If @localType is used with the value no, <recordId> will instead be used with an automatically created ID used in APE.

<maintenanceAgency> - Maintaining institution

The agency responsible for the creation, maintenance, and/or dissemination of the EAG file.
Use in the Archives Portal Europe:

Usually the maintaining institution would be the same as the institution being described. However, the environment of the Archives Portal Europe allows for alternative scenarios, where third parties, eg national aggregators towards the Archives Portal Europe, might be responsible for the maintenance of the EAG files. Such variations can be registered in this element.

The <p> element is an important textual feature, which must be used as part of any general description within a <descriptiveNote> element. New paragraphs are used to code text content in different languages or to structure longer texts in several parts.

<maintenanceStatus> - Maintenance status

Current state of the maintenance. Can only be one of the following statuses: new, cancelled, deleted, deletedReplaced, deletedMerged, deletedSplit, derived or revised.
Use in the Archives Portal Europe:

In the context of the Archives Portal Europe, this will be created automatically based on the actions done with an EAG file:

  • first creation = new;
  • any further edition = revised.

The other statuses are recommended to be used in the following situations:

  • deactivated, since institution has been merged with another = deletedMerged; note that this status has been newly introduced in the context of revising EAG;
  • deactivated, since institution has been split in several new institutions = deletedSplit;
  • deactivated, since institution has been replaced by a new one = deletedReplaced;
  • based on information already available in another system = derived.

As the Archives Portal Europe is about publishing this information, the statuses deleted and cancelled will not be used in this context.

<maintenanceHistory> - Maintenance history

Wrapper element for the history of the creation and maintenance of the EAG file.
Use in the Archives Portal Europe:

Within the Archives Portal Europe's tools, the element maintenanceHistory with its subelement <maintenanceEvent> is created automatically depending on the actions performed. This includes information on the date and type of the action as well as on the actor, with the latter being available as a free-text entry field within the tools.

<agent> - Agent responsible

The agent responsible for the maintenance event.
Use in the Archives Portal Europe:

In the context of the Archives Portal Europe, the content provider is asked to provide the according information manually. The field in the EAG creation form can, however, be left empty – if it is, the default value automatically created agent is included when saving the document.

<agentType> - Type of the agent

The type of the agent responsible for the maintenance event. Can be either human or machine.
Use in the Archives Portal Europe:

In the context of the Archives Portal Europe, this will be filled automatically depending on how the EAG file was created: if the file was created via the form in the dashboard or the Data Preparation Tool, the content for <agentType> will be human as the form is always used by a person. If the file was exported from another system, the content for <agentType> will be machine.

<eventDateTime> - Dates of creation, revision or deletion

Date and time of the occurrence of a maintenance event.
Use in the Archives Portal Europe:

In the context of the Archives Portal Europe, this will be created automatically with the accompanying attribute @standardDateTime containing the date of creation or revision in normalised form following ISO 8601 (YYYY-MM-DDTHH:MM:SS). The element <eventDateTime> itself can have content, too, and will contain the creation/revision date in human readable form (DD.MM.YYYY) derived from the attribute @standardDateTime. The element's content is displayed with the label Last update.

<repositorid> – Repository identifier

Element meant to gather the country code and repository code of the archival institution.
Use in the Archives Portal Europe:

In the context of the Archives Portal Europe, the value for the attribute @countrycode (compliant with ISO 3166-1) will be created automatically containing the country code as provided in the preferences of the Data Preparation Tool or the country to which an institution is linked within the Dashboard.

The dashboard also creates the attribute @repositorycode. It contains the institution identifier as provided originally for the element <otherRecordId>, if that is identified as an officially registered ISIL code (see ISO 15511); if the identifier in <otherRecordId> is no ISIL code or not compliant with ISO 15511 in general, a compliant and unique identifier will be created automatically for @repositorycode consisting of the country code (see above) and an 11 digits ascending number, both separated by a hyphen.

<archguide>  <desc>   <repositories>    <repository>     <repositorhist>      <descriptiveNote>       <p>Los orígenes del Archivo de la Real              Chancillería de Valladolid se remontan a las              Ordenanzas de Medina del Campo de 1489 por las que              los Reyes Católicos, además de reorganizar el              Tribunal de la Real Audiencia y Chancillería de              Valladolid, crearon su archivo. No obstante, hasta              1607 no se nombró al primer archivero y se ordenó              la construcción de un edificio en el que deberían              custodiarse los documentos que hasta entonces se              encontraban en poder de los escribanos. El archivo              se inauguró en 1682, y albergó la documentación              producida por la Chancillería hasta su sustitución              por el actual edificio, abierto al público en el              año 1973. Para entonces, la custodia de la              documentación ya había sido encomendada al Cuerpo              Facultativo de Archiveros del Estado (1906), y se              había superado el abandono paulatino sufrido              durante los siglos XVIII y XIX. En la              actualidad conserva fundamentalmente la              documentación emanada de la Real Audiencia y              Chancillería de Valladolid (1371-1834), máxima              instancia judicial de la Corona de Castilla              durante el Antiguo Régimen para los territorios              situados al norte del río Tajo, sin perjuicio de              las competencias de la Sala de Justicia del              Consejo de Castilla. In the context of the Archives Portal Europe the question, whether or not to describe a repository of an archival institution separately in its own EAG file, is answered based on the aspect of this repository having its own identifier. When each repository of an institution has its own identifier, it is recommended to create constituent EAG files and use the element <eagRelation> for linking these files with each other. When an EAG file is created with the according form of the Archives Portal Europe's dashboard, @repositorycode will be created automatically based on the identifier provided in the form and initially used for <otherRecordId>. ISO 15511, the International Standard Identifier for Libraries and Related Organisations (ISIL), allows to uniquely identify libraries, archives, museums and related organisations. Prerequisite to a globally unique identification is the registration of an ISIL code, as simple compliance with ISO 15511 does not guarantee global uniqueness. The Danish Agency for Culture acts as international Registration Authority to maintain the standard and its registry, with many countries having national ISIL agencies (see: http://biblstandard.dk/isil/) in addition.
The ISIL is alphanumeric, with a maximum of 16 characters. Valid symbols are a-z, A-Z, 0-9, solidus, hyphen-minus and colon. Even though the solidus is allowed, it would be preferred to have ISIL codes avoiding the solidus in the context of the Archives Portal Europe. This is related to the identifier of the institution being used as part of the portal's persistent URL-s, where a solidus can cause troubles. When ISIL codes are issued by national agencies, they always start with the two-letter country code according to ISO 3166-1 followed by a hyphen-minus and by the identifier assigned by that country's ISIL agency.
